City of Peekskill, NY, Banks on KVS Software and
Wachovia Bank
Digitization of Lockbox Collection Service Cuts City Workload
Williamsville, NY- May 22, 2006 -
KVS Information Systems, a leading
supplier of government software for municipalities, announced that the City of
Peekskill, NY, is streamlining operations through a new electronic lockbox
interface between KVS and Wachovia Bank.
The interface
provides the residents of Peekskill with more efficient
processing of their water and property tax bills. It also
considerably cuts down the man hours within the city’s
collection office.
Under the
arrangement, Wachovia receives all payments and scans the bill,
check and postmark date of each. If the postmark falls before
the cut-off date, the payment is processed immediately, and the
payment information can then be verified by the Peekskill
collection office at any time via a website.
“This service has
saved us hours upon hours of time,” explained Peekskill
Comptroller Marcus Serrano. “The biggest difference is the
digitization of the lockbox processing.”
Because so many
payments are received at the last minute prior to the cut-off
time, Serrano explained, much of the collection office
employees’ time was spent sorting through postmark dates and
hand posting all of the bills, which led to a major backlog.
This made it especially difficult to respond to residents who
would call the city wondering if their payment had been received
on time.
“Since last minute
bills are processed right away and we have access to this
information, the whole process has been sped up,” Serrano said.
Wachovia sends an
electronic file of the payment data to the city, along with any
payments received after the cut-off date, for further
processing. The city then uploads the payment data into the KVS
Collection system for account posting and updating of the
resident’s records.
“KVS continually
explores ways to automate payments at client sites whether it is
through web-based or direct interfaces such as with Wachovia,”
stated KVS President Ed Warnke. “Cities like Peekskill, NY, who
support populations of 25,000 people or more, derive great
benefit from automating receivables like tax and utility
payments.”
